1. Overview
This Refund and Payment Policy governs all financial transactions between you and LEBILIX LLC for the use of the AITODEX platform. All paid subscription checkout, renewal, and cancellation processing is handled through our payment partner, Polar.sh.

Paid plans may be offered with monthly and/or yearly billing options. All prices are listed in US Dollars (USD). The authoritative and most current commercial pricing is displayed on the Pricing page at checkout time.
2.1 AI Credits
AI credits are consumed each time you use an AI feature (writing, translation, diagram generation, etc.). Credits are non-transferable between accounts, do not roll over to the next billing period, and cannot be exchanged for cash or other services.

3. Billing & Charges
3.1 Billing Cycle
Subscriptions are billed in advance on a recurring monthly (or annual) basis, starting from the date you first subscribe. Your billing date is set when you subscribe and remains consistent each period.
3.2 Payment Methods
We accept the following payment methods through Polar.sh:
- Card and wallet methods supported by Polar and its payment processors in your region
- Any additional method displayed on the secure Polar checkout page
Supported methods may vary by country, currency, risk settings, and provider availability. All card data is encrypted and handled by Polar.sh and its processors. LEBILIX LLC does not store full card numbers on its own servers.
3.3 Automatic Renewal
Paid subscriptions renew automatically at the end of each billing period unless cancelled. To avoid a renewal charge, you must cancel before the next renewal is processed by Polar.
3.4 Invoices
A receipt is emailed to you automatically after each successful payment. You can also access billing history and download invoices from your Billing page.
4. Free Plan
The Free plan is available indefinitely and requires no payment or credit card. It includes a generous feature set for individuals to get started:
- Up to 3 projects at any time
- Up to 10 pages per project
- 65 AI credits per month
- PDF export
- Basic AI tools and core editing features
- No paid subscription charge
Free accounts are subject to fair-use limits. If we detect automated abuse or excessive usage, we reserve the right to throttle or suspend free accounts.
5. Cancellation Policy
5.1 How to Cancel
You may cancel your subscription at any time from the Billing page in your account. Cancellation takes effect at the end of your current billing period — you retain full access to your paid plan features until then.
5.2 After Cancellation
After your subscription ends, your account reverts to the Free plan:
- Projects beyond the Free plan limit become read-only (not deleted)
- Pages beyond the Free plan limit become read-only (not deleted)
- AI credits reset to 15/month
- Pro/Standard-only features (e.g., Diagram Generator) become inaccessible
- You can re-subscribe at any time to restore full access
5.3 Account Deletion
Cancelling a subscription is different from deleting your account. If you wish to permanently delete your account and all associated data, go to Account Settings → Delete Account. Account deletion is irreversible and all your documents will be permanently removed.
6. Refund Policy
6.1 Refund Review Window
If you subscribe to a paid plan for the first time and are not satisfied, you may request review of a refund request within 14 calendar days of your initial paid charge.
To request a refund:
- Email billing@aitodex.com with your account email and order reference
- Describe the billing issue and reason for the request
- Our billing team will review the request under this policy and applicable law
6.2 Subscription Renewals
After the 14-day guarantee period, subscription charges are generally non-refundable. However, we handle each case individually. Refunds may be considered for:
- Duplicate charges or billing errors caused by our system
- Extended downtime or service outages exceeding 24 consecutive hours
- Failure to provision plan features after a successful charge
- Medical or emergency situations (documentation may be required)
6.3 Non-Refundable Items
The following are not eligible for refunds:
- AI credits that have already been consumed
- Partial months of service after cancellation
- Annual plans after the 14-day guarantee window
- Accounts terminated for violation of our Terms of Service
- Charges that occurred more than 60 days prior to the refund request
6.4 Refund Processing
Approved refunds are issued to the original payment method within 5–10 business days, depending on your bank or card issuer. We do not issue refunds in the form of credits unless explicitly agreed upon.
6.5 Statutory Rights
Nothing in this policy limits mandatory consumer protection rights available under applicable law in your jurisdiction.
7. Upgrades & Downgrades
7.1 Upgrading
When you upgrade, plan changes are handled through Polar subscription change flows. Charges and proration are calculated by Polar according to the checkout/subscription settings in effect. Updated feature limits apply based on the active plan after the change is processed.
7.2 Downgrading
Downgrades are processed according to Polar subscription rules and may take effect immediately or at the next billing cycle depending on configuration. No refund credit is guaranteed unless required by law or explicitly approved under this policy.
7.3 Plan Limit Enforcement
If a downgrade results in your account exceeding new limits (e.g., more projects than the new plan allows), excess resources become read-only until you bring your usage within limits or re-upgrade. Your data is never automatically deleted due to a downgrade.
8. Failed Payments
If a payment fails (expired card, insufficient funds, etc.):
- Payment retries and dunning are handled by Polar and its processors
- Your paid access may be restricted, suspended, or downgraded if payment remains unresolved
- You can update your payment method via your billing flows to restore service
- We may cancel unpaid subscriptions after reasonable retry attempts
We do not charge late fees or penalties for failed payments.
9. Disputes & Chargebacks
If you believe a charge was made in error, please contact us at billing@aitodex.com before initiating a chargeback with your bank. We resolve billing disputes promptly and without the friction of a chargeback process.
Initiating a chargeback without contacting us first may result in immediate account suspension. Fraudulent chargebacks will be reported to payment processors and may affect your ability to use our service in the future.
10. Taxes
All displayed prices are exclusive of taxes. Applicable VAT, GST, or sales tax may be added at checkout based on your billing address and local regulations. LEBILIX LLC will collect and remit taxes as required by applicable law.
If your organization is tax-exempt, please contact billing@aitodex.com with your exemption certificate before subscribing.
